Position Summary
The Sales & Data Coordinator is an entry-level support role that provides coordination, administrative, and data support across Visit Mesa’s Sales and Marketing teams.
This role sits at the intersection of sales and marketing operations. Under the direction of senior staff, the Coordinator will assist with maintaining CRM data, supporting group sales activity, contributing to campaign reporting and budget tracking, and helping ensure cross-departmental workflows run smoothly.
This position is ideal for someone who is highly detail-oriented, curious about data, and eager to learn how a destination marketing organization operates. The role offers exposure to both sales and marketing functions and provides a strong foundation for career growth within Visit Mesa.
Role Structure
This is a blended support role with responsibilities allocated approximately as follows:
· Sales support and coordination: ~50%
· Marketing operations, data, and reporting support: ~40%
· Cross-functional and team support: ~10%
Time allocation may flex based on active campaigns, group leads, tradeshow cycles, and reporting deadlines.
Sales Support Responsibilities
· Update and maintain accurate contact and client information within the Tempest CRM database
· Submit leads to Visit Mesa partners and track responses
· Follow up on CRM leads and traces as assigned by sales leadership
· Assist with follow-up phone calls and emails for new and existing leads, using guidance and
templates provided by the sales team
· Review CRM booking reports and assist in identifying and correcting data entry errors
· Support weekly tracking of leads and bookings and help maintain shared reporting tools
· Assist with preparation for tradeshows and sales missions, including materials and logistics
· Support on-site needs such as welcome bags, signage, and registration materials
· Assist in researching and prospecting new client opportunities under the direction of senior staff
Marketing & Data Support Responsibilities
· Assist with pulling, organizing, and formatting data from various reporting platforms (training provided)
· Support the preparation of monthly and quarterly performance reports for leadership and the board
· Help maintain data accuracy across marketing systems and flag inconsistencies to senior staff
· Assist with compiling partner ROI reports to support consistent and transparent partner communication
· Support tracking of marketing budgets, including campaign spend, vendor invoices, and basic variance
reporting
· Help maintain marketing processes, documentation, and shared project files
Cross-Functional & Team Support
· Respond to incoming partner and client calls as needed
· Serve as occasional backup support for the Visit Mesa Visitor Center
· Build and maintain positive working relationships with partners, staff, and clients
· Participate in select committees or projects related to Visit Mesa’s Strategic Plan
· Maintain a general understanding of Visit Mesa’s marketing, branding, and partnership efforts
· Perform other duties as assigned
Qualifications:
Required
· Bachelor’s degree or equivalent experience; recent graduates encouraged to apply
· Strong organizational skills with high attention to detail and accuracy
· Proficiency in Microsoft Office applications, particularly Excel, Outlook, Word, and PowerPoint
· Strong written and verbal communication skills
· Ability to manage multiple priorities and meet deadlines in a fast-paced environment
· Ability to work both independently and collaboratively within a team
· Professional and client-ready communication style
Preferred
· Coursework, internship, or work experience involving data analysis, reporting, budget tracking, or financial
coordination
· Familiarity with CRM platforms (Salesforce, Tempest, Simpleview, or similar)
· Exposure to analytics or reporting tools (GA4, Looker Studio, Excel pivot tables)
· Interest in destination marketing, hospitality, or the tourism industry
Position Details
· Full-time, non-exempt position
· Hybrid (office located in Downtown Mesa)
· Reports to: VP, Sports and Director of Marketing
· Full health benefits and 401(k) opportunity
· Salary: $50,000 – $55,000 (DOE)
· Schedule: Monday – Friday, 8:00 AM – 5:00 PM, with minimal evening and weekend hours required
