Role Overview

We are looking for a tech-savvy, highly organized individual to work directly with the President and take ownership of day-to-day execution across operations, marketing coordination, CRM, and internal processes.

This is a “Swiss army knife” role. You will be expected to take loosely defined ideas and turn them into structured, completed outputs—whether that is a workflow, a report, a content pipeline, or an event plan.

The ideal candidate has an analytical mindset, is a strong self-learner, and actively leverages AI and modern tools to improve speed, quality, and efficiency.

What You’ll Do

Data, Analysis & Reporting

• Collect, organize, and analyze data across business activities (marketing, outreach, events, CRM)
• Build and maintain structured trackers, dashboards, and reports
• Identify trends, gaps, and opportunities based on data
• Support decision-making through clear, concise summaries

Content Management & Coordination

• Research industry topics and support development of technical content with the help of technical subject matter experts
• Use AI tools to summarize inputs and structure draft content
• Coordinate with technical team members to review, refine, and finalize content
• Manage publishing across website and social media platforms
• Maintain content calendars and ensure consistency and timeliness

(Note: This role focuses on research, coordination and structuring—not writing deep technical content.)

CRM & Workflow Automation

• Manage and maintain CRM (e.g., HubSpot or similar tools)
• Build and improve workflows, pipelines, and automations to improve accuracy and efficiency.
• Track leads, outreach, and engagement metrics
• Continuously identify opportunities to automate repetitive tasks

Events & Industry Engagement

• Research and track relevant conferences and industry events
• Manage registrations, deadlines, and logistics
• Coordinate sponsorships, speaking opportunities, and follow-ups
• Support pre- and post-event execution

Process Improvement & AI Enablement

• Identify inefficiencies and propose practical improvements
• Use AI and automation tools to streamline workflows
• Build simple systems to improve repeatability and consistency
• Continuously test and adopt new tools to increase productivity

What We’re Looking For

• 2–6 years of experience in operations, marketing, analytics, executive support, or similar roles
• Post-college degree in Engineering, Business Analytics, or a related fields
• Strong analytical mindset with ability to structure and interpret data
• High attention to detail and commitment to accuracy and quality
• Proficiency with digital tools (Microsoft Office, CRM systems, etc.)
• Hands-on experience with or willingness to quickly learn CRM tools (e.g., HubSpot)
• Ability to create simple, clear visuals (no advanced design expertise required)
• Strong written communication skills (clear, structured, concise)
• Highly organized and able to manage multiple priorities
