Position Summary

The Parts Manager is responsible for overseeing the day‑to‑day operations of the Parts Department, including inventory management, purchasing, receiving, sales support, and warranty return processing. This role supports Viking Yachting Center (VYC) maintenance operations, VYSN service departments, and retail customers, ensuring timely and accurate parts availability across all channels.

This position supports multiple dealer brands, including Viking, Valhalla, Contender, Sportsman, Phenom, Monterey, Yamaha Outboards, and Mercury Marine. Strong experience within a boat dealership or marine service environment, particularly with Mercury and Yamaha parts systems, is critical for success.

Key responsibilities include maintaining inventory accuracy, supporting service technicians, assisting walk‑in and retail customers, processing warranty claims, and coordinating closely with off‑site Viking New Jersey (VNJ) and Valhalla Boatworks (VBW) Parts Warehouse Managers. Familiarity with Lightspeed inventory management software is strongly preferred, as this role will play a key part in the upcoming system transition.

Job Responsibilities, Skills and Qualifications

Inventory Management

• Order, receive, stock, and restock marine parts and accessories
• Maintain accurate inventory counts through regular cycle counts and audits
• Monitor stock levels and maintain appropriate safety stock for service operations and customer demand

Parts Support

• Assist service technicians and walk-in customers in identifying required parts for repairs, maintenance, and warranty work
• Provide accurate parts information for internal departments and retail customers
• Purchasing and Vendor Coordination
• Source out-of-stock parts through manufacturers and vendors
• Coordinate special orders, shipping, receiving, and vendor returns

Warranty and Returns

• Process manufacturer warranty claims and warranty parts returns
• Maintain proper documentation for warranty reimbursement and claim tracking

Sales and Quoting

• Prepare parts quotes and cost estimates for service, repairs, and customer requests
• Support department profitability through proper pricing and purchasing practices
• Records and Systems Management
• Maintain accurate records for inventory transactions, warranty claims, returns, and purchase orders
• Utilize dealership inventory systems such as Lightspeed, Stylin, or similar parts management software

Qualifications

• 3+ years of parts department experience in marine, automotive, heavy equipment, or dealership operations preferred
• Previous supervisory or management experience preferred
• Boat dealership experience strongly preferred
• Knowledge of Mercury and Yamaha parts systems strongly preferred
• Experience with Lightspeed inventory software strongly preferred
• Strong organizational and problem-solving skills
• Ability to manage multiple priorities in a fast-paced service environment
• Strong communication and customer service skills
• Valid driver’s license required
