The Role
The Interpretation Services Manager runs the day-to-day operation of our interpretation department. You will lead our in-house Language Coordinators/schedulers (LCs), manage same-day coverage and scheduling through our company’s encrypted proprietary system, partner with our interpreter network, handle client communications in MS365, and own the professionalism and quality of the entire department.
You report directly to the CEO and CFO and will serve as the bridge between leadership and the coordination team. This is a hands-on role — you will be in the day-to-day, not running things from a distance — and it is the right fit for someone who likes structure, genuinely enjoys people, and raises the standard of every team they join.
What You Will Do Every Day
Lead the coordination team:
· Supervise the Language Coordinators. Monitor that LCs are completing tasks on time, staying on top of texts and emails, and following through on interpreter communications.
· Check in with staff on appointment statuses throughout the day; remind and redirect as needed.
· Approve breaks and lunches; adjust schedules in real time when coverage gets tight.
· Assign languages quarterly, and when staff are out of the office.
· Monitor who needs shadowing and training; coordinate that coverage.
Run same-day coverage and dispatch:
· Supervise LCs to handle last-minute, same-day requests.
· Work with LCs on possible switches when an appointment cannot be covered.
· Help with language assignments when the team is stretched.
· Back up the phones when needed.
Protect data and appointment quality:
· Check the proprietary scheduling system daily for appointments’ statuses and follow up with staff who are behind.
· Catch and resolve missing links, duplicate appointments, and overlapping requests for the same patient before the day of service.
· Remind staff to act on warning emails from the proprietary system.
· Coach staff on appointments’ instructions, notes, and documentation.
Own client and interpreter communication:
· Monitor Microsoft Teams chats with clients throughout the day.
· Handle external (client) and internal (interpreter and staff) complaints with professionalism and discretion.
· Communicate with interpreters about client complaints and the company’s expectations.
· Manage interpreter equipment coordination.
Be the bridge to leadership:
· Work with the CEO and CFO to establish guidelines, deadlines, and communication standards.
· Translate leadership expectations into clear, actionable direction for staff.
· Surface real issues up the chain — honestly and early — before they become bigger problems.
· Send team updates via email: reminders, changes, and clarifications.

What You Bring
Required:
· 3+ years supervising a team in a scheduling, dispatch, staffing, coordination, or operations environment.
· Demonstrated ability to manage direct reports, deliver feedback, and hold a team accountable.
· Strong written and verbal communication skills. You will write a lot of emails and have many hard conversations.
· Proficient in both Mac and Windows; quick to learn new scheduling and management software.
· Proven independent judgment — you do not need to be told every step.
Strongly preferred:
· Experience, a comparable scheduling platform, or a high-volume dispatch/coordination system.
· Prior experience in language services, interpretation/translation, court or medical interpreting, healthcare scheduling, home care coordination, or staffing is a plus, but not required.
· Familiarity with the industry credentialing (CHI, CMI, court certification, HIPAA) is preferable but not required.
· Bilingual ability (any second language is a plus, not required).
· Bachelor’s degree, or equivalent professional experience.
· Familiarity with basic HR support — onboarding, documentation, and employee relations.
Compensation & Benefits
· Pay: $35.00 – $38.00 per hour (approximately $73,000 – $79,000 annually), depending on experience.
