Position Overview:
The Reimbursement Specialist is responsible for managing client billing, contract compliance, and reimbursement processes within a staffing environment. This role ensures accurate invoicing, timely collections, and alignment with client agreements, while supporting overall revenue cycle operations.
Key Responsibilities:
Generate and submit client invoices based on approved timecards, bill rates, and contract terms
Review contracts to ensure accurate billing, markups, and reimbursement structures
Monitor accounts receivable and follow up on outstanding invoices
Investigate and resolve billing discrepancies, short payments, and disputes
Reconcile payments and maintain accurate financial records
Partner with recruiters, account managers, and payroll teams to ensure billing accuracy
Track and report on reimbursement trends, aging reports, and client payment activity
Ensure compliance with client agreements, internal policies, and applicable regulations
Assist with month-end close processes, including revenue reconciliation and reporting
Qualifications:
Associate’s or Bachelor’s degree in Accounting, Finance, Business, or related field preferred
2+ years of experience in billing, accounts receivable, or reimbursement (staffing industry preferred)
Strong understanding of contract billing, invoicing, and collections processes
Experience working with timekeeping systems and billing platforms
Proficiency in Microsoft Excel (pivot tables, VLOOKUPs, data analysis)
Strong attention to detail and problem-solving skills
Excellent communication and organizational abilities
Preferred Skills:
Experience in staffing, consulting, or professional services billing
Familiarity with ERP or accounting systems (e.g., NetSuite, QuickBooks, or similar)
Ability to manage high-volume billing and tight deadlines
Analytical mindset with a focus on process improvement
