About The Role

We are seeking a highly organized and proactive Executive Assistant to support our CEO in a fast-paced, growth-oriented environment. This fully remote position requires a minimum of three years of experience supporting senior executives, with a strong emphasis on accuracy, attention to detail, and the ability to work independently. The successful candidate will manage the CEO’s calendar, handle correspondence, coordinate meetings, and assist with various administrative tasks critical to executive operations. Flexibility to work after hours when necessary and the ability to meet tight deadlines are essential. The role offers an exciting opportunity to be a key contributor to the executive team, ensuring smooth communication and operational efficiency across the organization.

Qualifications

• Minimum of 3 years of experience supporting executives in a similar role
• Over 10 years of general administrative experience
• Associate’s degree from an accredited university (Bachelor’s degree preferred)
• Strong proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)
• Exceptional written and verbal communication skills
• Ability to develop professional presentations and client-ready materials
• Highly organized with excellent attention to detail
• Proven ability to manage multiple priorities and meet deadlines
• Strong problem-solving skills and ability to work independently
• Experience with scheduling, correspondence management, and vendor negotiations
• Confidentiality and discretion in handling sensitive information

Responsibilities

• Manage and prioritize the CEO’s calendar, appointments, and travel arrangements
• Screen, manage, and respond to emails and other communications for the CEO
• Provide comprehensive administrative support for various projects and initiatives
• Coordinate and organize meetings, including preparing agendas and minutes
• Assist in developing and refining presentations and reports for executive management
• Monitor and ensure adherence to deadlines for key projects and reports
• Draft, edit, and proofread correspondence, contracts, and reports
• Negotiate with vendors and key resources to secure the best pricing and terms
• Maintain and update task management software for tracking action items
• Support communication across departments and with external partners
• Compile and distribute meeting agendas and minutes as needed
• Perform routine administrative tasks such as filing, data entry, and document management
• Read and analyze memos, reports, and submissions to determine their significance
• Prepare responses to routine inquiries and correspondence
• Maintain strict confidentiality of company and executive information
• Occasionally participate in candidate interviews and onboarding processes
• Perform additional administrative functions as requested by the executive team
