Summarized Job Description:
· The Patient Intake Coordinator is primarily responsible for facilitating communication across all teams within the Vital Care network, including pharmacy-related departments such as authorizations, billing, and support staff.
Primary Responsibility:
· Their main objective is to ensure efficient collaboration that accelerates patient approval and streamlines the intake process.
Reports directly to:
· Lead Patient Intake Coordinator
Daily Tasks:
- Enter new referrals within 30 minutes of receival time.
- Complete a welcome call for each new referral.
- Review benefits upon intake.
- Manage the new patient intake spreadsheet. Accept or decline referrals:
o If declined, forward to the “No-Go Referral TEAMS channel” for review
o Expedite all acute referrals by emailing the Vital Care Intake Team
- Communicate with the Vital Care Intake Team regarding:
o Initiating authorizations
o Reimbursements
o Benefits
o Out-of-Network (OON) versus In-Network (IN) status
o Warm transfers and favor auths. For patients we can’t accept but will assist with maintaining a good relationship with MDO
- Maintain daily communication with the Vital Care Authorization Team for:
o Initiating authorizations
o Follow-ups on authorization status
o Appeal follow-ups
o Reauthorizations
- Update the intake spreadsheet daily.
- Update sales/profit spreadsheet.
- Updates to acute and specialty TEAMS Channel.
- Review benefits with patients.
- Dispatch new patient paperwork via DocuSign.
- Follow up on any pending documents in DocuSign.
- Monitor VOW throughout the day to ensure faxes are filed appropriately.
- Complete billing holds.
- Manage collection holds.
- Manage the documentation holds in Vital Systems.
- Process audits.
- Coordinate with Vital Care sales representatives to address the needs of provider offices and keep them informed about key information, such as authorization approvals, first appointment schedules, and nursing notes.
- Enroll patients in Patient Assistance Programs (PAPs) with the Vital Care PAP team.
- Review patient accounts on CollectPlus, including:
o Processing payments through CollectPlus
- Review Vital Books for things such as:
o Payments
o Adjustments
Pay: $28.96 – $33.26 per hour
