Administrative Assistant – Wealth Advisory Team

Are you an organized, detail-oriented administrative professional who thrives in a fast-paced, client-focused environment? We’re seeking an experienced Administrative Assistant to support a team of financial professionals and help deliver an exceptional client experience.
This is an excellent opportunity for someone who enjoys juggling multiple priorities, interacting with professionals at all levels, and serving as a key member of a collaborative team.
What You’ll Do
Manage complex calendars, schedule meetings, and coordinate conference calls
Support multiple advisors and account managers with day-to-day administrative needs
Arrange travel and process expense reports
Coordinate client and advisor meeting logistics, including resolving scheduling conflicts
Prepare, edit, and distribute correspondence, reports, and presentations
Handle confidential client information with professionalism and discretion
Respond to client requests and assist with client account onboarding activities
Organize and ship client materials
Support new hire onboarding and team integration efforts
Assist with general office administration, including filing, scanning, inventory management, mail processing, and special projects
What We’re Looking For
5+ years of administrative experience, preferably supporting executives, advisors, or professionals in a corporate environment
Strong calendar management and scheduling experience
Excellent written and verbal communication skills
Exceptional attention to detail and organizational abilities
Ability to prioritize competing demands and work effectively under pressure
Professional demeanor with sound judgment and discretion when handling confidential information
Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook)
Experience with expense management systems such as Concur is a plus
Self-starter who takes initiative and anticipates needs
Positive attitude and team-first mindset
