Bookkeeper – Controller Full Time NEW

Location: Remote. Must work full U.S. business hours.

The Role

We are hiring a full-time Controller / Bookkeeper to own the financial operating rhythm of our business day to day. You will keep the books clean across multiple operating entities, run accounts payable and accounts receivable end-to-end, and lead our recurring FP&A meetings with leadership.

This role sits between transactional bookkeeping and strategic finance. You are not just categorizing transactions, and you are not setting company strategy. You are the person who makes sure the numbers are right, the bills are paid, the invoices go out, and leadership has the visibility they need to make decisions.

Responsibilities

Bookkeeping across multiple entities

• Maintain accurate, up-to-date books for each operating company in QuickBooks Online (or equivalent)
• Run monthly close on a fixed calendar, with books closed and reconciled within 10 business days of the month end
• Manage categorization, journal entries, intercompany transactions, and reconciliations
• Hand off clean, ready books to our external CPA (not raw data)

Accounts Payable and Accounts Receivable

• Process and schedule all vendor payments and manage approval workflows
• Issue client invoices on the agreed cadence and follow up on aging receivables
• Maintain vendor and client records, W-9s, 1099s, and contractor payments
• Own the full cash in and cash out cycle

FP&A

• Prepare monthly financial packages: P&L, balance sheet, and cash flow, both by entity and consolidated
• Build and maintain a rolling cash flow forecast
• Run a recurring FP&A meeting with leadership covering variance to budget, margin by service line, runway, and open decisions
• Surface risks and opportunities proactively

Process and controls

• Document financial SOPs as you build them, including a close checklist, AR and AP cadence, and approval thresholds
• Maintain audit-ready records
• Coordinate with our external CPA on tax filings and year-end
  

Requirements

• 5+ years of full-cycle bookkeeping experience, including multi-entity environments
• Proven ownership of AR and AP at a similar-sized business
• Comfortable preparing and presenting financial reports to non-finance leadership in English
• Strong working knowledge of QuickBooks Online (NetSuite or Xero also acceptable)
• Intermediate to advanced Excel or Google Sheets
• Excellent written and spoken English
• Self-directed and organized
  

Strongly Preferred

• Experience inside a marketing, creative, or professional services agency
• Familiarity with U.S. GAAP and U.S. tax prep handoff to a CPA
• Experience running or contributing to FP&A and budget vs actual reviews
  

Nice to Have

• CPA, ACCA, or equivalent qualification
• Experience implementing or cleaning up a chart of accounts across entities
• Familiarity with project profitability or time tracking systems used in agencies
