The individual will have responsibility of interfacing with a diverse workforce, working under the direct supervision of the Plant Manager. Under limited supervision, responsible for a variety of administrative functions. Responsibility may include but not limited to, schedule appointments, answer phones, compose memos, create presentations, generates reports, prepares and monitors invoices and expense reports.
· Manage the purchases of non-stock items, including production, office and safety supplies for the General Office and Production Departments.
· Maintain and log all American Express (CPC) purchases for both the Plant Manager and Director of Manufacturing.
· Generate SAP POs for Production and other departments as required.
· Receive monthly inventories to ensure that materials and supplies are available to accommodate production.
· Routinely monitor inventories to ensure that office supplies are available to accommodate all departments.
· Prepare and submit all necessary documentation for new vendors, check requests and expense reports.
· Assigned contact person for office equipment difficulty and malfunctions.
· Maintain and organize numerous office files and procedures.
· Read and analyze incoming memos, submissions, and reports in order to determine their significance and plan their distribution.
· Prepare agendas and make arrangements for committee, board, and other meetings.
· Attend meetings to record minutes: Compile, transcribe, and distribute minutes of meetings.
· Manage and maintain management’s schedules.
· Responsible for all travel arrangements for Managers and Supervisors.
· Greet visitors and determine whether they should be given access to specific individuals.
· Open, sort, and distribute incoming correspondence, including faxes and email.
· Prepare invoices, reports, memos, letters, financial statements, and other documents, using word processing, spreadsheet, database, and/or presentation software.
· Assist Human Resource with special projects and company events.
· Assist other department with various projects as necessary.
EDUCATION & EXPERIENCE
High School Diploma, GED or equivalent required, some College preferred. Minimum of 2 years of administrative experience in a similar position. * Any equivalent combination of related education and/or experience may be considered for the above.
KNOWLEDGE, SKILLS, ABILITIES
· Bilingual Spanish & English required
· Expert knowledge of Microsoft Office: Word, Excel, PowerPoint, and Outlook
· SAP preferred.
· Excellent communication and people skills.
· Good organizational skills with the ability to multitask and prioritize.
· Independent worker yet strong team player.
· High customer service skills
