About The Role

We are seeking a detail-oriented and reliable Billing Administrative Assistant to join our dynamic accounting team. This remote role is pivotal in ensuring the accuracy and timeliness of client invoicing, managing accounts receivable, and maintaining strong client relationships. The ideal candidate will demonstrate excellent organizational skills, proactive communication, and the ability to work independently in a fast-paced environment. Reporting directly to the Billing Specialist, this position collaborates closely with project management teams and other accounting staff to ensure seamless billing processes. The role offers an opportunity to contribute to the financial health of the organization while developing valuable skills in billing and accounts receivable management.

Qualifications

• High school diploma or equivalent required; associate degree or higher preferred.
• Two or more years of experience in billing, accounts receivable, or related financial roles preferred.
• Proficiency in accounting software and familiarity with billing platforms such as SAP, OpenInvoice, OpenTicket, and Ariba.
• Strong attention to detail and organizational skills.
• Excellent written and verbal communication abilities.
• Proficiency in Microsoft Excel, Adobe, and other relevant tools.
• Ability to work independently and manage time effectively in a remote environment.

Responsibilities

• Prepare and submit accurate client invoices for all projects within the assigned portfolio, ensuring compliance with client requirements and deadlines.
• Upload invoices and supporting documentation to external billing platforms such as SAP, OpenInvoice, OpenTicket, and Ariba.
• Support the downloading of system-generated invoices and backup documentation for record-keeping and audit purposes.
• Research and resolve billing issues and inquiries from internal teams and clients promptly and professionally.
• Coordinate with project managers and internal departments to verify billing accuracy and address project-related billing concerns.
• Monitor accounts receivable, follow up on overdue balances, and facilitate collections.
• Assist with project setup, ongoing maintenance, and closeout activities related to billing processes.
• Maintain organized and up-to-date project and billing files for easy access and audit readiness.
• Perform additional administrative tasks as assigned by the Billing Specialist or Controller to support team operations.
