Position Overview:
The Experience Coordinator is responsible for managing client communications and ensuring
appointments are accurately scheduled and prepared. This is a high-volume, fast-paced
position requiring strong time management, multitasking across systems, and real-time
prioritization.
The ideal candidate is highly organized, detail-oriented, and calm under pressure – with
experience in high-volume hospitality or sales environments strongly preferred.
Key Responsibilities:
● Manage all inbound client communication via phone and email (this is not an
in-person/front desk role)
● Schedule, reschedule, and confirm appointments
● Identify and resolve scheduling conflicts, documentation gaps, and system errors
proactively
● Prioritize and manage a high volume of requests simultaneously, ensuring timely
follow-up and resolution
● Act as a liaison between clients and providers to ensure clear, efficient communication
Qualifications:
● Prior experience in a high-volume coordination or communication role
● Experience with CRM systems (Salesforce preferred) and EHR platforms
● Strong time management and prioritization skills in a fast-paced environment
● Proven ability to multitask across systems and communication channels
● High attention to detail, especially in scheduling accuracy and documentation
compliance
● Professional, solutions-oriented communication style
