The Shasta-Tehama-Trinity Joint Community College District (Shasta College) sits at the northern end of the Sacramento Valley, surrounded by mountains to the north, east, and west. Description Of Basic Functions And Responsibilities

To provide quality program-level support and assistance for a diverse student population to assist them with navigating all aspects of their enrollment through the distinct services of assigned program area. Determine Student Services program eligibility in accordance with established guidelines, monitor student academic progress in collaboration with counseling faculty, and provide outreach and recruitment activities. Employees in this classification receive limited supervision within a framework of standard policies and procedures and perform a variety of responsible student support functions. This job class requires superb organizational and communication skills, with a strong emphasis on fostering/maintaining positive interactions with students, colleagues and the public.

CLASSIFICATION: Range 35 on the current Classified Salary Schedule, 40 hours per week, 12 months per year. Work assignment hours are 8:00 a.m. to 5:00 p.m., Monday through Friday. This is a classified position with a default CalPERS retirement.

Typical Duties, Knowledge and Ability

Essential Functions

• Plans, organizes, and implements specific Student Services program activities and operations.
• Determine student initial and ongoing eligibility for Student Services program or services; track individual student and cohort progress and adherence to program guidelines.
• Assists with Student Services program in-take procedures. Receives, reviews, and verifies documents, records, and forms for accuracy, completeness, and determines program eligibility and extent of support in accordance with established rules, regulations, policies, and procedures.
• Provides program orientation and workshops to students, both in person and virtually.
• Meets with students to determine appropriate service to fulfill their stated needs and assists them in navigating resources to meet these needs.
• In collaboration with counseling faculty, monitors individual student academic progress, identifies barriers to success, and refers students to other college and community support services as appropriate.
• Assists students with understanding and completing applications and/or forms such as documentation and appeals for financial aid and academic status review.
• Help students navigate resources that address academic, financial and personal challenges that may interfere with their academic performance.
• Coordinates program-related financial assistance in collaboration with the Office of Financial Aid.
• Provides outreach to students who have been identified through the Early Alert system for academic risk, or through other alerts related to student basic needs, and refers them to appropriate resources.
• Acts as liaisons with program counselors related to student academic success.
• Track students’ participation, activities, and services within assigned students services program.
• Acts as information source regarding Student Services program policies, procedures, and requirements.
• Receives, handles, and processes confidential student information and requests, ensuring that security and strict rules of confidentiality are maintained.
• Establishes, maintains, and compiles computerized and manual records including student files, reports, correspondence, and related documents.
• Promotes Student Services program through creation of brochures, fliers,andotherpromotionalmaterials;makespresentationstoappropriategroups.
• Maintains accurate and detailed calendar of events, due dates, and schedules as they relate to assigned program and services to ensure proper tasks and activities occur as scheduled.
• Assists in the development of forms and processes necessary for the operation of the assigned categorical program.
• Works collaboratively with all campus departments to facilitate student access and success.
• Assigns, trains, and coordinates the work of student employees.
• Presents at campus outreach events.
• Performs related duties similar to the above in scope and function as required.

Knowledge of:

• College and community services and resources available to students.
• General needs of ow-income, educationally disadvantaged, and single-parent students.
• Principles, methods, and procedures for conducting outreach/recruitment activities for Student Services Programs.
• Basic procedures, practices, and purposes of programs focused on student success and support.
• Efficient office methods, practices, and procedures, including computerized record-keeping systems.
• Rules and regulations for determining student eligibility for all state, federal, and local student services programs.

Ability to:

• Provide supportive customer service in person and through remote communication.
• Exercise tact and diplomacy in dealing with sensitive, complex, and confidential student issues and situations.
• Review student applications and forms for completeness and accuracy.
• Learn district, state, and federal policies and procedures as applicable to the program.
• Plan, organize, and prioritize work with demonstrated flexibility and adaptability to pivot and reprioritize tasks as needed.
• Enforce established program regulations and requirements.
• Effectively and tactfully communicate in both written and oral forms.
• Establish and maintain accurate record-keeping systems and files, and assist in the preparation of related reports.
• Understand and follow oral and written instructions in an independent manner.
• Establish and maintain effective work relationships with those contacted in the performance of required duties.

Experience/Education

Education Required

• Combination of training, education, and experience equivalent to an A.A. Degree.
• Demonstrated sensitivity toward and understanding of the diverse academic, socioeconomic, cultural, and ethnic backgrounds of students and staff, including staff members and students with disabilities.

Education/Experience Preferred:

• Higher education experience working with categorically funded programs.
